The 10 tech tools every small business should be using in 2026

Free or very affordable software that can transform your business efficiency. Most small businesses don't even know they exist.

Technology is no longer just for big companies

Ten years ago, having a CRM, cloud invoicing software or automation tools was something reserved for large companies with huge budgets. Today, many of these tools are free or cost less than ยฃ20/month.

The problem isn't cost. It's that most small businesses don't know they exist or don't know which one to choose. This guide makes it simple.

1. Google Workspace (formerly G Suite) โ€” Communication and documents

Professional email with your domain, Google Drive for storing and sharing documents, Google Docs for real-time collaboration and Google Meet for video calls. Price: from ยฃ5/user/month.

If you're still using a Gmail or Hotmail address for your business, this is the first thing you need to change. An email with your own domain (frank@yourbusiness.com) projects professionalism from the very first contact.

2. QuickBooks or FreeAgent โ€” Invoicing and accounting

Cloud-based invoicing, expense tracking, client management and basic accounting. Both integrate with major UK banks and are HMRC-compatible. Price: from ยฃ12/month.

3. Trello or Notion โ€” Task and project management

For organising projects, pending tasks and workflows. Trello is more visual and simple; Notion is more powerful and flexible. Both have a free version that is more than enough for a small business.

4. WhatsApp Business โ€” Customer service

The professional version of WhatsApp, completely free. It lets you create a business profile, set up automatic replies, organise conversations with labels and view message statistics. If you already use WhatsApp for business, switch to the Business version today.

Tip: Set up an automatic welcome message and an out-of-hours away message in WhatsApp Business. It projects a much more professional image and saves time on admin.

5. Canva โ€” Design without being a designer

Create social media posts, presentations, flyers and any graphic material without design skills. It has thousands of professional templates and is very intuitive. Free version is very complete; Pro from ยฃ10/month.

6. Calendly โ€” Appointment and meeting management

Lets your clients book appointments directly in your calendar without the back-and-forth of calls or emails. Syncs with Google Calendar and Outlook. Ideal for clinics, consultants, trainers and any appointment-based business. Free version available.

7. Mailchimp or Brevo โ€” Email marketing

For sending newsletters, offers and communications to your customer base. Both have free versions for small lists. Email marketing has one of the best returns on investment of all digital channels.

8. Google Analytics 4 โ€” Website analysis

Completely free. It tells you how many people visit your site, where they come from, which pages they view, how long they stay and much more. Without Google Analytics, you have no idea whether your website is working. Free.

9. Bitwarden โ€” Password management

Stores all your passwords securely and generates unique passwords for each service. Avoids the most common mistake of using the same password everywhere. Completely free for individual use.

10. Tidio or Tawk.to โ€” Live chat on your website

A chat widget on your website that lets visitors ask questions in real time. It significantly increases conversion rates because the visitor can resolve doubts instantly instead of leaving without getting in touch. Tawk.to is completely free.
